The Philanthropy Assistant is a strategic member of the Philanthropy team. The position assists the team with donors capable of investing $1,200 or more. This role is responsible for administrative support to the Philanthropy team in the planning, coordinating, and implementation of annual and capital fundraising efforts, including supporting a broad range of fundraising activities. The Assistant will provide support around cultivation, solicitation, and stewardship of new and current mid-level and major gift donors to strengthen the major gift pipeline and support the work of the front-line fundraisers. The position reports to the VP of Philanthropy.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Manages Philanthropy team fundraising efforts and activities through Salesforce (NGOC) database data entry work. The position enters completed actions and upcoming tasks in donor accounts, updates the donor pipeline, and pulls reports for the team and for individual gift officers. Ensures that all mid-level and major gifts are entered properly and accurately into the database. Serves as the primary database administrator for the Philanthropy department, including managing customization of data and reports for the team.
Processes gifts and updates team revenue weekly, tracking all gifts and pledges, comparing to monthly goals on a weekly basis and documenting results.
Oversees the acknowledgment of all gifts and pledges and prepares pledge payment reminders and gift agreements. Collaborates with the Philanthropy team and the Executive Office to thank donors through the donor acknowledgement process.
Supports fundraisers by writing contact reports following meetings, assisting with implementation of meeting next steps and other cultivation efforts, preparing gift agreements and documents to assist in closing gifts, and by drafting correspondence and authoring donor stewardship materials.
Assists in the administration of RMPM’s planned giving program by helping with the creation of marketing and program materials, such as RMPM’s Legacy quarterly newsletter. Sends prospects estate planning materials and serves as a liaison with external estate representatives. Updates lists and messaging and assists with stewardship of planned giving prospects and donors.
Conducts in-depth prospect research and prepares detailed profiles on prospective and current donors and partners for the CEO and Philanthropy team using Donor Search and other sources.
Collaborates with Philanthropy team members to implement major donor cultivation and stewardship plan.
Communicates with donors, and conducts thank you calls to supporters on a weekly basis. Responds to requests for general assistance from mid-level and major gift donors.
Prepares and distributes briefings, agendas, meeting notes, and other documents for donor and philanthropy team meetings.
Partners with communication, revenue and content teams to create donor-facing correspondence including impact reports, letters, invitations, briefings, email updates and other materials to key stakeholders.
Manages logistics for virtual and in-person Philanthropy events. Oversees events process including invite language, event show flow, maintains RSVP lists, communicates with digital marketing to coordinate, and send out invitations, and manages event reminders and follow up. Additionally, assists in coordinating with event participants and other RMPM departments.
Processes gifts and coordinates stock gifts made to RMPM in partnership with the Finance teams. Maintains communication with the Membership team to ensure proper gift processing as needed.
Tracks and documents all bequests and planned giving notifications; provides required follow up with personal representatives for the processing of bequests and planned gifts.
Other tasks as assigned and/or required.
MINIMUM QUALIFICATIONS OF POSITION
Bachelor’s degree in Business, Marketing or a related field; a mix of demonstrated skills, abilities and knowledge may be considered in place of educational requirements.
Minimum 2 years experience and knowledge of fundraising best practices
Experience in working in a non-profit environment is a plus.
Must be able to manage multiple projects under tight deadlines.
Excellent writing, analytical, and research skills are essential.
Strong communication skills, customer service skills/focus, and relationship management skills are required.
Knowledge of and prior usage of Office365 applications, including SharePoint, Outlook, Word, Excel, and PowerPoint is required.
Strong analytical and computer and cloud-based application skills: Microsoft Office Suite (Outlook, Word, Excel, OneDrive, SharePoint), Zoom, and CRM software.
ADDITIONAL QUALIFICATIONS OF POSITION
Must be a forward-thinking and strategic worker who anticipates the needs of a fast-paced fundraising team.
Must be able to work both independently and as a collaborative and productive team member.
Must possess strong interpersonal skills and the ability to work professionally and productively with persons at all levels. Strong relationship-building skills and being comfortable calling donors and thanking them for their gifts is needed.
Must possess exceptional time management, decision making and organizational skills.
Experience with prospect research, online databases and other sources to locate financial and philanthropic information is preferred.
Experience with CRM (Customer/Constituent Relationship Management) software and reporting preferred.
