Job Summary: Under the direction of the Executive Director (ED), the Office Administrator serves the organization by providing superior customer service, database management, data entry, emailing, copying, filing, errand running, and event assistance.

The position is a temporary part-time hourly position without benefits, with the opportunity for MCC to re-evaluate the role and its responsibilities in 4 months. Most work hours are during the day (averaging 32 hours per week), though some evening and weekend hours are expected. To start, the role will be considered hybrid with at least 2 days in the office. The Office Administrator does some physical activities such as hauling supplies for rehearsals and concerts and, therefore, must be capable of some physical labor including standing for extended periods of time. The Office Administrator must be mobile, have his/her own transportation and have a phone and computer.

General Qualifications:  The Office Administrator must be passionate about working with youth, MCC staff, board, and parents toward common goals. The Office Administrator must have strong people skills, excellent communication and organization skills, and the ability to work effectively with students, parents, colleagues, and the general public. The Office Administrator must possess strong Excel, Microsoft Word, Quick Books, and Google Suite skills and be able to work independently and be accurate, dependable, and trustworthy.

Job Description:

Administrative Work

  • Manage and maintain up-to-date member database
  • Manage all bulk and other mailings
  • Run copies and errands
  • Sort and distribute mail
  • File invoices, tuition agreements, and other documents (physically and digitally)
  • Manage office equipment maintenance
  • Order office supplies and manage supply budget
  • Assist with timely communication with parents via email, newsletters, phone calls and in-person contact
  • Assist Executive Director, Artistic Director, and other staff as necessary
  • Correspond with all prospective members and maintain audition database
  • Assist in the administration of small fundraising work, e.g., flower sales, tree and wreath sales, etc.
  • Maintain documents required for grant submissions and donor stewardship, and assist with grant preparation

Production

  • Attend all MCC concerts, major fundraising events, and special guest performances as requested, working with parent volunteers and ED to ensure smooth running events with superior customer service
  • Prepare materials as needed for rehearsals and meetings
    Assist at choir rehearsals, if needed

Assist with Accounting Duties:

  • Prepare and send invoices, receive all incoming fees, and follow up with delinquent accounts
  • Process credit cards
  • Maintain accurate tour account records

Non-Exempt: A non-exempt employee is an employee who is entitled to overtime pay under the Fair Labor Standards Act (FLSA). MCC must pay them time and a half their regular rate of pay when they work more than 40 hours in a week.

Temporary Worker: Temporary workers may work part-time or full-time hours and may be hired through an agency in which case they remain the employee of the agency, or directly by MCC as an MCC employee. A temporary worker is hired for a particular project or for a finite period of time. Temporary workers generally do not receive any benefits, other than those required by temporary employee laws.

Background Checks: Due to the nature of MCC and its work, MCC asks every employee (as well as any MCC volunteer traveling with MCC youth) to complete a Background Check Authorization Form. By completing this form, the employee/volunteer gives MCC permission to conduct a background check. If the employee/volunteer fails to complete the Background Check Authorization, MCC may deny or terminate employment/volunteer service.
