We are seeking a team player with a welcoming personality for a front office position. The person for the Office and Development Assistant position will provide diversified administrative support and conduct daily office responsibilities under the supervision of the Executive & Artistic Director. We are seeking an individual to accomplish the following tasks in the areas of administration, finance and development:
Administrative
• Facilitate the day-to-day needs for office including opening & distributing mail and preparing outgoing mail
• Field incoming calls and general inquiries
• Oversee phone systems, answer systems and coordinate external communication
• Facilitate internal communication and oversee organizational calendar
Financial
• Basic bookkeeping entry
• Facilitate bi-monthly payroll and oversee employee records
• Pay vendors and monthly bills and match invoices to receipts
• Reconcile bank deposits and other clerical assignments as needed
Development
• Coordinate donor records and maintain records with Matchmaker Software
• Generate tax receipts for donors and grantors

Job Description:
Under the direction of the Director of Development, the Development Coordinator is responsible for working with volunteers to plan, coordinate, promote, facilitate and oversee execution of fundraising events for the Foundation, including walks, runs, golf tournaments, raffles, and other fundraisers that take in Arizona and around the country. This individual will also serve as a liaison for community events benefiting the TGen Foundation.
-Supervises volunteers and works with them to oversee the planning, coordination and execution of fundraising events. He or she will be responsible for making logistical arrangements for events, preparing progress reports as necessary, and will create collateral materials for all phases of volunteer driven events including: appropriate invitations, information for web, press releases, sponsorship materials, and other documents as needed. He or she may supervise, monitor, and evaluate staff that helps facilitate or has responsibility at designated events.
-Assist with the management of the Foundation’s website. This will include adding content to the site, creating fundraisers and the necessary infrastructure within NetCommunity to support these fundraising events, processing new user sign-up requests, assisting event participants with online registration, personal fundraising pages, troubleshooting issues and working with Blackbaud to address functionality issues.
-Provides leadership to various beneficiary/annual events which are designed to raise visibility and funds for TGen. This includes providing staff support by attending meetings (when necessary), making special presentations, facilitating tours, and serving as a TGen representative or host at various special events.
-Works with volunteers to oversee the development and management of fundraising event budgets. Responsible for maintaining consistent and reliable financial accounting of fundraising event progress while detailing actions taken to meet established goals which are set by the volunteers in conjunction with the TGen Foundation. Works with vendors and contractors and coordinates payments for event expenses. Regularly conducts post-event evaluations and reports to Director of Development and volunteers.
-Works with the Director of Development to develop appropriate strategies and timelines to increase event participation and improved fundraising results. Assists in overseeing the function of the support systems in Raiser’s Edge relative to events; this includes data input and retrieval of event reports.
-Performs miscellaneous job related duties, as assigned.
